Custom Trophy Engraving: A Complete Guide

Custom engraving is what turns a standard trophy into a keepsake that belongs to one person, one team or one event. Whether you are organising a village cricket tournament near Bhor, a school sports day in Pune, or an office award night, the engraving is the part people read first. This guide explains the engraving and customisation options we use in our Kapurhol workshop, what text to include, how to prepare artwork, and how to plan your timeline so nothing is rushed.

Engraving and Customisation Options

Laser Engraving

Laser engraving marks the surface of the material directly, producing clean, permanent text and logos. It works especially well on acrylic awards, metal plates and many wooden surfaces. It is the best choice when you want:

• Names, dates and titles that stay sharp over time
• Logos with fine lines or small lettering
• A professional finish on corporate and school awards

Because the mark is part of the surface, laser engraving does not peel or fade the way printed labels can.

Name Plates

Most trophies have a base where a name plate can be fitted. The plate carries the event name, achievement and winner, and is engraved separately before being fixed to the trophy. Name plates are the most common choice for metal trophies, cup trophies and fiber trophies because they let one trophy design be reused for many different winners, each with their own text.

Marathi Base-Plate Artwork

For many local events in Pune District, organisers prefer the trophy text in Marathi. Our workshop prepares Marathi base-plate artwork on site, so tournament names, mandal names, village names and titles can be written properly in Devanagari. If your event uses both languages, you can mix them, for example a Marathi tournament name with English player names.

Stickers and Full-Colour Logos

Some designs call for full-colour artwork such as a sponsor logo, a school crest with several colours, or a photograph. For these, a printed full-colour sticker is often the practical option. It is commonly used for sponsor branding on tournament trophies and for school logos on cups.

What to Engrave

A well-planned plate is easy to read from a distance and still makes sense years later. Most plates include some combination of:

1. Event name, for example "Annual Sports Day" or the name of the tournament
2. Achievement, such as "Winner", "Runner-Up", "Man of the Series" or "Best Bowler"
3. Recipient, either the individual's name or the team name
4. Date or year, so the trophy can be placed in time
5. Organiser, such as the school, company, club or mandal
6. Logo, where there is space and good-quality artwork is available

You do not need all six on every piece. Small trophies and medals look better with fewer lines. On larger trophies, the event name and achievement can be larger, with the recipient and date in smaller text below.

Keeping Text Readable

• Keep lines short. Long sentences shrink the font size and become hard to read on stage.
• Check spellings twice. Names are the most common source of re-engraving. Ask each team or class teacher to confirm spellings in writing.
• Be consistent. If you use "1st Place" on one plate, do not use "First Prize" on the next.
• Avoid decorative fonts for small text. Simple fonts stay legible at small sizes; decorative fonts are best kept for the event title.

Preparing Your Artwork

Good artwork makes the difference between a sharp logo and a blurry one. When you send your logo or design, the best formats are:

• Vector files such as AI, EPS, SVG or a vector PDF. These scale to any size without losing quality and are ideal for laser engraving.
• High-resolution PNG or JPEG for printed stickers. A clear, large image works much better than a small logo copied from a website or WhatsApp.
• A plain PDF if that is all you have. We will tell you if the quality is not good enough for the chosen method.

If you only have a photo of your logo, send it anyway. We can advise on whether it can be used as it is or whether a cleaner version is needed.

Engraving for Different Occasions

Sports Tournaments

For cricket, kabaddi, volleyball and other local tournaments, organisers usually order a set: winner, runner-up and individual awards such as best batsman, best bowler and player of the series. Engraving the tournament name and year on all pieces, with only the title changing, keeps the set consistent. Sponsor names are often added with a sticker or a separate plate.

School Events

Schools generally want the school name, event, standard and student name. When there are many winners, a clear spreadsheet with one row per trophy saves a lot of time and avoids mix-ups on stage.

Corporate Awards

Turnaround and Planning

Standard custom orders are usually ready in three to five working days once the text and artwork are final. Larger orders with many different names need more time, so share your event date when you enquire and we will tell you what is realistic. For small last-minute needs, walk-in customers can often choose a ready trophy and have it engraved the same day.

A simple plan that works for most events:

• Share your event date, quantities and rough design choices first.
• Send the final name list and artwork as one set rather than in pieces.
• Check the proof carefully and approve it in writing.
• Allow a day or two of buffer before the event for collection or delivery.

• Sending names in several messages from different people, which leads to missed corrections
• Using a low-resolution logo taken from a social media post
• Deciding the text on the day of collection
• Mixing date formats and spellings across a set
